Creating a Coaching Session

Ways to Create a Session

You can create coaching sessions in two main ways:

  1. AI-Generated Coaching Session

  2. Manual Coaching Session

1. AI-Generated Coaching Session

Use this when you want the system to analyze evaluations for you and propose coaching content.

The AI will automatically generate:

  • Discussion points for key improvement areas

  • Criterion summaries

  • Overall coaching notes addressed to the coachee

  • Suggested action items

Steps:

  1. Go to the coachee’s page: /coaching/{coacheeId}

  2. Click New Session

  3. Fill in the core session details:

    • Name – e.g., Q1 2024 Performance Review

    • Coachee – Pre-selected

    • Coach – Defaults to you; you can change it

    • Review Period – Start and end dates for evaluations to include

    • Scorecards – (Optional) Limit to specific scorecards

  4. Select the criteria you want to focus on (or let AI auto-select).

  5. Click Generate AI Coaching (requires at least one evaluation in the selected period).

What happens next:

  • The system analyzes all evaluations for the coachee in the review period.

  • It identifies criteria with the most “markdowns” (scores below the maximum).

  • It automatically selects up to 3 criteria (or uses the criteria you specified).

  • It generates:

    • Criterion summaries

    • Overall notes

    • Suggested action points

    • Links to relevant tickets/evaluations

2. Manual Coaching Session

Use this when you want full control over what’s included and how it’s phrased.

Steps:

  1. Go to /coaching/{coacheeId}New Session.

  2. Fill in: Name, coachee, coach, review period, and (optionally) scorecards.

  3. Select criteria manually from the list.

  4. For each selected criterion:

    • Review the evaluation stats shown.

    • Write your own summary or discussion point.

    • Link specific evaluations as examples.

  5. Add:

    • Notes – Overall feedback visible to the coachee.

    • Private Notes – Internal coach-only notes.

    • Action Items – Tasks for the coachee.

AI Generation Details

How AI Selects Criteria:

  • Prioritizes criteria with more scores below the maximum.

  • Can exclude soft criteria by default (depending on settings).

  • Uses up to the 25 most recent evaluation scores per criterion (to keep context manageable).

  • Selects up to 3 criteria, unless you explicitly choose others.

AI-Generated Content Includes:

  • Criterion Summaries – 2–3 sentence overviews of performance for each criterion.

  • Notes – An overall performance summary, written directly to the coachee.

  • Action Points – Specific, actionable tasks tied to evaluation comments.

  • Ticket Links – Direct references to tickets/evaluations used in the analysis.

  • Knowledge Base Links – Relevant KB articles, if that integration is enabled.
